By the end of this guide, every bank account, card and loan in your Wave books will match its statements, with the fixes made in Wave by Claude while you watch, answer its questions and approve each step.
Who it's for
Small-business owners who keep their books in Wave and have fallen behind. You'll need a paid Claude plan with the Claude desktop app and the Claude in Chrome extension, your Wave login, and online access to each bank, card and loan account. The first catch-up is the long one: set aside an afternoon or two. After that, each month takes minutes.
Why bother: the slow part of bookkeeping isn't typing, it's matching hundreds of statement lines to your books and fixing what's wrong. Claude can do the matching and the fixing. You stay in charge: it asks before it changes anything that matters, and anything permanent, like deleting entries, stays your job.
Steps
-
Make one folder for your books
Create a folder such as
Bookkeeping/2026, with three folders inside it:01-wave-export,02-statementsand03-claude-work. Inside02-statements, make one folder per bank account, card and loan, named the way the account is named in Wave plus its last four digits, such asChecking-1234andVisa-5678. That's how Claude ties each statement to the right account in Wave. -
Export your books from Wave
In Wave, click your business name (top right), then Business settings, then Data Export, and choose Accounting. Wave emails you a download link. Save the file into
01-wave-exportand unzip it. Keep this export untouched: it's your backup of the books as they were before any changes. -
Download every statement for the period
On each bank, card and loan website, download every statement for the period. PDFs are fine, and Claude can read them. Save each account's files in its own folder, named by month, such as
2026-09.pdf, so a missing month stands out at a glance. Leave the files as downloaded: don't merge or edit them. -
Give Claude the folder and ask for a status check, not changes
First check your Claude plan's privacy settings, since these are financial records. Then in the Claude desktop app, choose Add folder from the + menu beside the message box and pick your bookkeeping folder. Start with a check: "Compare every statement in 02-statements with the Wave export, month by month. For each account, tell me where Wave stops matching the statement and why. Save the comparison in 03-claude-work and don't change anything yet." You'll get a table of every account and what's wrong: duplicates, missing months, transfers counted as income or spending.
-
Agree the plan and answer Claude's questions
Claude proposes the fixes and an order to do them in. It will also have questions about transactions it can't place from the statements alone, like who a payment went to and what it was for. For a long list, ask it to put the questions in a spreadsheet: you type the answers into it, save it in the folder, and Claude reads them back.
-
Let Claude make the fixes in Wave through Chrome
Open Chrome with the Claude extension, sign in to Wave yourself, and leave the Wave tab open. Then tell Claude to go ahead. It works in that tab: uploading missing transactions from the statements, categorizing them, linking payments between your accounts, and adding the journal entries it explained. After each batch it checks the account's balance in Wave against the statement. Watch it work; you can stop it at any point, and it stops before anything that costs money, like a subscription.
-
Do the deletions yourself
Deleting entries in Wave can't be undone, so Claude leaves that to you. It filters the Transactions page so only the entries to remove are on screen, ticks them, and tells you exactly how many there should be. You check, click the trash icon and confirm. Then tell Claude, and it checks the balance moved by exactly the right amount.
Check it worked
Ask Claude for a final check: for every account, the balance in Wave on each statement date should match the statement's ending balance, with nothing left uncategorized that you haven't chosen to leave. Then ask for a profit and loss statement and a balance sheet for each year, pulled from Wave into a spreadsheet in 03-claude-work, with a notes tab listing every judgment call. Every total in it should match what Wave's own reports show, and that's the file to send your accountant.
Common mistakes
- A missing statement. One skipped month makes everything after it look wrong. Check every account folder has every month before you start.
- Bank feeds and statement uploads on the same account. If Wave is still importing from the bank while Claude uploads statements, you get duplicates. Pick one per account: turn off automatic import for any account you'll keep up to date from statements.
- Trusting Wave's automatic categories. Wave's own guesses are often wrong, such as loan payments booked against equipment. Have Claude review them along with everything else.
- Uploading a year of transactions in one file. Wave can stall on a hidden "dates overlap" prompt. Upload one month at a time, as Claude does when it checks each month's balance.
- Accepting categories you didn't read. Claude explains each change, but the books are yours. Wrong categories become wrong tax figures: read its summaries, and ask your accountant about anything unusual, such as money moving between you and your business.
- A cluttered browser. Claude works in your signed-in Chrome. Use a Chrome profile with only Wave open, and don't leave banking or email tabs in that window.
